How we handle personal data when you visit our website or use the application. We keep collection to what we need to run the site, understand aggregate usage, and respond to enquiries.
1. Who is responsible
Aquadome BV
KvK 84126485
Netherlands, Netherlands
For privacy questions or to exercise your rights, contact us at hello@aquadome.ai.
2. What we collect
Depending on how you use the site, we may process:
- Website analytics. Page views, interactions, device and browser type, approximate location derived from IP, referrer, and similar usage data collected through our analytics provider (EU-hosted).
- Account data. If you sign in to the application, we process the information needed to create and maintain your account and keep you signed in.
- Contact form. Name, email address, organisation, and message content when you submit the contact form on the marketing site.
- Technical data. Server and security logs needed to operate, protect, and troubleshoot the service.
We do not sell personal data and we do not use advertising trackers or social media pixels on this site.
3. Why we process data
- Analytics — to understand how the website is used and improve it. Legal basis: legitimate interest (GDPR Art. 6(1)(f)), balanced against your privacy through EU-only processing and aggregate reporting.
- Accounts — to provide access to the application. Legal basis: performance of a contract or steps prior to entering one (Art. 6(1)(b)).
- Contact enquiries — to read and respond to your message. Legal basis: legitimate interest in handling business correspondence (Art. 6(1)(f)), or pre-contractual steps at your request (Art. 6(1)(b)).
- Security and operations — to keep the service available and secure. Legal basis: legitimate interest (Art. 6(1)(f)).
4. Processors and third parties
We use service providers that process data on our behalf under contract. These include:
- Analytics (EU) — PostHog Cloud, for product analytics on the public website. See PostHog's privacy policy.
- Hosting and email (EU) — infrastructure and transactional email providers that help us run the site and deliver contact-form messages.
We do not authorise processors to use your data for their own marketing purposes.
6. How long we keep data
- Analytics data is retained for a limited period aligned with our analytics configuration.
- Account data is kept while your account is active and for a reasonable period afterward if required for legal or security purposes.
- Contact form submissions are kept as long as needed to handle your enquiry and maintain a business record.
- Operational logs are kept only as long as needed for security and troubleshooting.
7. International transfers
We aim to process personal data within the European Economic Area. If we use providers outside the EEA, we rely on appropriate safeguards such as standard contractual clauses. We will update this policy if our approach changes.
8. Your rights
If you are in the EEA, UK, or another jurisdiction with similar protections, you may have the right to access, rectify, erase, restrict, or object to processing of your personal data, and to data portability where applicable. You also have the right to lodge a complaint with your local supervisory authority. In the Netherlands, that is the Autoriteit Persoonsgegevens.
To exercise your rights, email hello@aquadome.ai. We may need to verify your identity before responding.
9. Security
We apply technical and organisational measures appropriate to the data we handle. No method of transmission or storage is completely secure. For a broader view of how we run the platform — including practices aligned with ISO 27001 — see our security page.
10. Terms of use
Our terms of use govern your use of the website and application. This policy covers personal data only.
11. Changes to this policy
We may update this page when our practices or legal requirements change. The “Last updated” date at the top reflects the current version. Material changes will be noted here.
